How To Use ShowOps
A quick step-by-step user guide for Event Organisers and Team Members to set up and coordinate live event operations.
1. Registering & Workspace Creation
ShowOps is built around isolated **Client Workspaces** so that each client maintains their own crew lists, schedules, and analytics safely.
- Choose a pricing plan (Ultimate or Funky) on the homepage.
- Enter your details and choice of unique **Workspace Name** (e.g. *Excel Expo 2026*).
- Upon checkout completion, the system creates your secure workspace and auto-promotes you to the **Organiser** role.
2. Creating & Activating an Event
Inside your new Workspace Manager, you can declare event structures and venues.
- Navigate to the **Workspace Manager** tab in your sidebar.
- Look for the **"🆕 Create Event Workspace"** card.
- Enter the event's name (e.g., *National Tech Expo*), location, start time, and end time.
- Once created, the event will appear in your **Managed Events** directory. Click the event name to switch to its active operations dashboard.
3. Configuring Zones & Staffing
Events are broken down geographically into **Zones** (e.g. *Main Arena, Entrance Gates, Seminar Room A*).
- **Add Zones**: In the Workspace Manager under **"📍 Create Event Zone"**, enter the zone name. This creates a real-time status tracker and attendance gauge.
- **Invite Staff**: Under **"👥 Register Team Member"**, fill out the email, name, role (Team Member or Organiser), and a default password.
- **Schedule Rotas**: Under **"📅 Schedule Staff Shifts"**, choose a team member, zone, and start/end times. This automatically updates their personal shift timetable.
4. Adding & Dispatching Checklist Tasks
Checklists keep event crew synchronized. Organisers can allocate tasks to specific zones or individuals.
- On the active event dashboard, navigate to **"⚡ Quick Task Dispatch"** on the right side.
- Type in the task title (e.g. *Open entrance gate turnstiles*) and description.
- Set the **Priority** (Routine, Important, Critical).
- (Optional) Choose a specific **Assignee** and **Target Zone**. If unassigned, the task appears as a floater for any crew member to claim.
- Click **Dispatch Task**. The task appears instantly on the checklist for all crew members. When completed, crew members toggle the checkbox to update its status.
5. Real-Time Comms & Operations
Keep operations fluid using built-in instant chat, dynamic notifications, and live dashboards.
- **Communications Centre**: Use the live chat channels to share text, pictures, or video attachments. You can restrict or customise channels to filter conversations.
- **Useful Information**: Publish guides like WiFi login details or emergency contacts under the Useful Information console.
- **Live Analytics**: Track task completion percentages, busy chat channels, and top crew performers on the fly.
